This Privacy Policy explains how BookSpace collects, uses, stores, and shares personal information when you visit our website or use our book-planning, writing, editing, and file-delivery services. Please also read our Terms of Service and Refund Policy.
Who We Are and How to Contact Us
BookSpace (“we,” “us,” or “our”) provides AI-assisted book-planning, writing, editing, formatting, and publishing-preparation services.
For privacy questions or requests, contact privacy@bookspace.ai. General inquiries and business contact can be directed to contact@bookspace.ai, customer support is available at support@bookspace.ai, or you may use the Contact Center linked in the website footer.
This Policy applies to bookspace.ai, app.bookspace.ai, and related services that link to it. Depending on your location, applicable data-protection laws may include the EU GDPR, the UK GDPR, or applicable US state privacy laws. The rights available to you depend on the law that applies to your situation.
Personal Information We Collect
A. Account information
We may collect your name, email address, authentication information, account preferences, subscription or plan status, and security-related account records. We do not need to know your password in readable form to authenticate you.
B. Book briefs, uploads, and generated content
We process the prompts, instructions, research materials, notes, files, outlines, drafts, chapters, and final files that you submit to or create through BookSpace. Depending on their contents, these materials may contain personal information about you or other people.
Please upload only materials you have the right to use and process.
C. Product usage and credit records
We may record project status, production stages, revision requests, feature usage, credit reservations and deductions, and other information needed to operate the service and troubleshoot issues.
D. Payment and subscription records
When a checkout provider is available for your transaction, the provider shown at checkout and on your receipt processes the purchase. Depending on the provider and transaction, it may collect payment-card or wallet details, billing address, tax information, and other information needed to process payment and comply with law.
BookSpace does not intentionally collect or store full payment-card numbers or card security codes. We may receive and retain limited transaction information such as the provider name, order or transaction ID, customer ID, subscription status, plan, billing period, payment amount and currency, country or billing region, and records needed to reconcile payments and manage credits.
E. Technical and security information
Our systems and service providers may process IP address, browser and device information, operating system, referral information, timestamps, performance data, error logs, and security events to maintain the service, prevent abuse, and investigate technical issues.
F. Support communications
If you contact us, we may retain your message, contact details, relevant project or transaction identifiers, and our responses so we can address your request and maintain appropriate support records.
How We Use Personal Information
We use personal information as reasonably necessary to:
- create and secure accounts and provide BookSpace features;
- research, plan, draft, revise, typeset, and deliver requested book projects;
- conduct the human review steps described in our service information;
- administer plans, credits, transactions, cancellations, and support requests;
- diagnose errors, maintain availability, prevent fraud and abuse, and protect users and the service;
- communicate service, account, billing, and policy updates;
- comply with applicable legal obligations and respond to valid legal requests; and
- send marketing communications only where permitted and, when required, with your consent.
Legal Bases Where Required
Where applicable data-protection law requires a legal basis, we may rely on:
- Contract: to provide the service or take steps you request before entering a contract;
- Legitimate interests: to secure, maintain, and improve the service, prevent abuse, and manage support, where those interests are not overridden by your rights;
- Consent: for processing that legally requires consent, such as certain non-essential cookies or marketing communications; and
- Legal obligation: to meet applicable legal, tax, accounting, or regulatory requirements.
Where we rely on consent, you may withdraw it. Withdrawal does not make earlier lawful processing unlawful.
AI Processing and Your Content
To provide AI-assisted book services, we may send relevant prompts, source materials, and draft text to third-party AI model providers and infrastructure providers.
We aim to share only information reasonably necessary for the requested operations. Access by BookSpace staff is limited to legitimate operational needs, such as the Human Review Checkpoint (Stage 5 of the production workflow), customer support, security investigations, or legal compliance.
We do not sell user manuscripts, and we configure our third-party AI provider settings so that your uploaded materials and generated book content are not used to train public foundation models.
Please avoid submitting sensitive personal information about other people unless it is necessary and you have an appropriate legal basis to provide it. We do not make decisions producing legal or similarly significant effects about users solely through automated processing where applicable law prohibits it.
Checkout Providers and Payment Information
Payments are processed by independent third-party payment providers. The provider handling your transaction is identified at checkout and on your receipt. The applicable provider processes payment under its own terms and privacy policy.
Depending on your transaction and billing region, the external payment provider acts as the Merchant of Record or contractual reseller. In that capacity, the provider manages payment processing, order invoicing, applicable sales tax or VAT collection and remittance, currency conversion, and payment-related refund execution under its own buyer terms.
BookSpace does not collect, receive, or store full payment card numbers or card security codes. We receive and retain only the limited, non-sensitive transaction records needed to activate your plan, manage your credit ledger, reconcile payments, and provide customer support.
For payment details, tax receipts, or transaction inquiries managed by the payment provider, you may contact the provider named on your receipt or contact our billing team at billing@bookspace.ai.
International Transfers
BookSpace operates internationally, and some service providers may process information in other countries. Where applicable law requires safeguards for international data transfers, we use appropriate transfer mechanisms such as standard contractual clauses or adequacy decisions. Each checkout provider is responsible for the transfers it carries out for information it controls.
Retention and Deletion
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, subject to legal and operational requirements.
- Account and book content: retained while needed to provide the service and according to the account-deletion process described in our product.
- Payment, tax, and credit records: retained as needed for accounting, dispute resolution, fraud prevention, and legal obligations.
- Support messages: retained for as long as reasonably needed to resolve issues and maintain support records.
- Security and diagnostic logs: retained for the period reasonably needed for security, troubleshooting, and abuse prevention.
A checkout provider may retain its own records under its policies and legal obligations. Deleting your BookSpace account does not automatically delete records held independently by a checkout provider.
Your Rights and Choices
Depending on applicable law, you may have the right to request access to, correction of, deletion of, or a copy of your personal information; object to or restrict certain processing; withdraw consent; or lodge a complaint with a competent data-protection authority.
To submit a request, email privacy@bookspace.ai or use the Contact Center. We may need to verify your identity and will respond within the period required by applicable law. Legal exceptions may apply, including where we must retain certain records. For payment information controlled by a checkout provider, contact that provider as well.
You can manage marketing email preferences using the unsubscribe mechanism in the message, where provided. Essential service and transaction messages may still be sent.
Children's Privacy
BookSpace is intended for adults. You must be at least 18 years old, or the age of legal majority where you live if higher, to use the service. We do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided us with personal information, contact privacy@bookspace.ai so we can assess and address the request.
Changes to This Policy
We may update this Policy when our service, providers, data practices, or legal obligations change. We will publish the updated version on this page and revise the “Last updated” date. Where required, we will give additional notice or obtain consent before a material change takes effect.
